Draft for legal review. This text was prepared as a working draft on 11 October 2026 and has not yet been reviewed by a lawyer. Items in [square brackets] must be confirmed by Canadian Edu Centre before the site goes live.
1. Who we are
canadahighschools.com is operated by Canadian Edu Centre, a private education consultancy with offices in Toronto and Montréal [confirm the registered legal name and business number]. We are responsible for the personal information described in this policy. Our privacy contact is [name and title of the person in charge of personal information], who can be reached at the address below.
Canadian Edu Centre, 1208-55 Erskine Ave, Toronto, ON M4P 1Y7, Canada · +1 416 877 9404 · canadianeducentre@gmail.com
2. Information we collect
- Pre-assessment requests: the parent's or student's name and email address, current grade, target start date, program length, the schools on your list, your message, and any transcript or CV you choose to attach.
- Student applications in the portal: the student's name, date of birth, gender, citizenship, country of residence, passport details, first language, school history and marks, English level, program preferences, accommodation and dietary needs, health information that the school or host family needs to know, budget range, visa history, and the documents you attach. We also collect the names and contact details of parents or legal guardians.
- Agency applications in the portal: the agency's legal and trading name, address, registration number, contact person, team size, markets, experience, memberships and references.
- Account information: the email address and password you use to sign in. Passwords are stored in protected (hashed) form.
- Messages: what you send us by email, telephone or WhatsApp.
- Technical information: the basic server log data that every website receives, such as IP address, browser type and the time of the request [confirm with the hosting provider].
3. Children and students under 18
Most of the students we help are minors. We ask that a parent or legal guardian completes the forms and the portal application, or supervises the student who does. By submitting a minor's information you confirm that you are the parent or legal guardian, or that you have their authority. We collect only what a school, homestay provider or custodian needs in order to assess and place the student.
4. Why we use it
- To answer your enquiry and prepare a school shortlist.
- To prepare and submit applications to the schools and school districts you choose, and to arrange homestay or residence and custodianship where you ask us to.
- To keep you informed about the progress of an application.
- To assess and manage partnerships with education agencies.
- To keep records we are required to keep, and to protect the security of the site.
We do not sell personal information, and we do not use it for advertising profiles.
5. Legal basis
We rely on your consent, which you give when you submit a form or application, and on the steps needed to provide the service you ask for. Where the EU or UK General Data Protection Regulation applies, we also rely on our legitimate interest in running and securing the service; health and other sensitive information is processed only with your explicit consent. You may withdraw consent at any time, although we may then be unable to continue an application.
6. Who we share it with
- Schools and school districts you apply to, and the homestay providers and custodians who work with them.
- Education agents who submitted the application on your behalf.
- Service providers that deliver our messages and host our systems: our website host [name], our email provider (Google), the form delivery service used on this site (FormSubmit) and WhatsApp (Meta) when you choose to contact us there. Fonts on this site are loaded from Google Fonts, which receives your IP address when a page loads.
- Authorities, only where the law requires it.
We do not submit study permit or visa applications to Immigration, Refugees and Citizenship Canada (IRCC) through this website.
7. Where information is processed
Our offices are in Canada. Some service providers process information in the United States or other countries, where privacy laws may differ from those of your country or province. We send information outside Canada only as needed for the purposes above.
8. How long we keep it
We keep enquiry information for [12 months] after our last contact, and application files for [number] years after the student's program ends or the application is withdrawn, unless the law requires a longer period. After that we delete or anonymize the information.
9. Cookies and browser storage
This site does not use advertising or analytics cookies. It stores a small amount of information in your own browser so that the site works as you expect: your language choice, the schools you add to your list, and, in the portal, your sign-in session and draft answers. You can clear this at any time in your browser settings. If we add analytics or other optional cookies later, we will ask for your consent first.
10. Security
We limit access to application files to the staff who need them, use encrypted connections (HTTPS) and protect accounts with passwords. No method of transmission or storage is completely secure; please do not send passport scans or health information through channels you do not trust. If a breach creates a real risk of significant harm, we will notify you and the relevant privacy authority as the law requires.
11. Your rights
You can ask to see the personal information we hold about you or your child, to correct it, to withdraw consent or to have it deleted, subject to legal limits. Residents of Quebec, the European Economic Area, the United Kingdom and some other places have additional rights, such as data portability and the right to object. To make a request, write to us at the address above; we reply within 30 days. You may also complain to the Office of the Privacy Commissioner of Canada, the Commission d'accès à l'information du Québec or your local data protection authority.
12. Changes to this policy
We will post any update on this page with a new date. Last updated: 11 October 2026 (draft).
